Document Verification Process and Important Instructions

The Document Verification (DV) process at AIIMS Bathinda will be conducted in physical mode, where candidates’ original documents will be scrutinized against the claims made in their application forms.

Key Instructions:

  • Originals & Photocopies: Candidates must bring all original documents listed above, along with one self-attested set of photocopies.
  • Certificate Validity: Ensure that all category certificates (OBC, EWS, SC, ST, PwBD) are valid, in the prescribed format by DoPT, and issued within the specified dates (especially for OBC/EWS: 1st April 2025 to 31st July 2025). Failure to produce valid certificates will lead to cancellation of candidature.
  • Experience Certificate: Only full-time experience obtained after acquiring the essential educational qualification will be considered. The experience should be counted as on the last date of submission of the online application form.
  • No Objection Certificate (NOC): Candidates currently employed in Government/Semi-Government/PSU on regular/contractual basis must produce a valid NOC from their current employer. Without NOC, they will not be allowed to participate in DV.
  • Provisional Candidature: Shortlisting for DV is purely provisional. Final eligibility will be determined after verification of all criteria (age, category, essential qualification, experience) as per the original advertisement and institute rules.
  • Absence from DV: If a candidate fails to report for document verification as per the schedule, it will be presumed they are not interested in joining the Institute, and their candidature will be cancelled without further notice.
  • Fake Documents: Any candidate found submitting fake, tempered, or false certificates will have their candidature cancelled, and necessary legal action may be initiated.
  • No TA/DA: No Travel Allowance (TA) or Dearness Allowance (DA) will be paid for appearing in the Document Verification.
  • Communication: No hard copy of this notification will be sent by post. Candidates must regularly check their registered email ID (including spam folder) and the official website https://aiimsbathinda.edu.in for updates.
  • Final Decision: The decision of the Executive Director, AIIMS, Bathinda regarding eligibility and selection will be final.

After Document Verification (Next Steps)

Once the document verification process is successfully completed, candidates can expect the following typical next steps in the recruitment cycle:

  • Final Merit List: AIIMS Bathinda will likely publish a final merit list or a list of finally selected candidates after scrutinizing all documents and confirming eligibility.
  • Medical Examination: Selected candidates will typically undergo a medical examination to ensure they meet the physical fitness standards required for the post. This is a standard procedure for government jobs.
  • Offer of Appointment: Successful candidates who clear DV and medical examination will receive a formal Offer of Appointment (appointment letter) from AIIMS Bathinda.
  • Joining Formalities: The appointment letter will include details about the joining date, required formalities, and initial posting.

Common Issues During DV & Solutions

Document Verification can sometimes present challenges. Being prepared can help mitigate most issues:

  • Missing Documents: Always create a checklist and cross-verify each document multiple times before leaving for the venue. If a document is genuinely missing (e.g., lost), carry an FIR copy or an affidavit stating the reason, but be aware this might lead to conditional acceptance or rejection.
  • Incorrect Details on Certificates: If there are minor discrepancies (e.g., spelling errors) in names on certificates, carry an affidavit or a gazette notification for name change. For major errors, it’s best to get the certificate re-issued if time permits.
  • Category Certificate Issues: This is a common point of contention. Ensure your OBC (non-creamy layer) or EWS certificate is from the Central Government list, in the DoPT format, and issued within the specified dates. If it’s an old certificate or not in the correct format, try to get a new one.
  • No Objection Certificate (NOC): If your employer is delaying the NOC, carry proof of your application for NOC, but remember, a valid NOC is often mandatory for final acceptance.
  • Photocopies Not Self-Attested: Always self-attest all photocopies. Carry extra copies of important documents and blank papers for self-attestation.
